Privacy Policy

1. Scope

This policy applies to information collected through the Proper Commerce public website, application form, email communications, scheduling tools, and related business-development activities. Information processed on behalf of a client under a signed services agreement or data-processing addendum is governed by that agreement and the client’s instructions.

2. Information we collect

Information you provide

• Name, work email, company, role, and store URL.
• Product category, company-size, revenue, and catalog ranges.
• Systems, sales channels, operational challenges, deadlines, budget range, and referral source.
• Communications, scheduling information, and optional marketing preference.

Do not submit store passwords, API keys, customer lists, order exports, payment-card information, health information, government identifiers, or other sensitive personal information through the public website.

Limited technical information

Hosting, security, and error-monitoring providers may process limited technical information such as IP address, browser or device details, requested pages, referring page, date and time, and error details. The application also records sanitized campaign parameters submitted with the form. Proper Commerce does not use third-party behavioral analytics or advertising pixels on the site at this time.

3. How information is used

• Respond to and evaluate service inquiries.
• Schedule meetings and prepare proposals or agreements.
• Provide requested services and maintain business records.
• Operate, secure, and improve the website and service process.
• Comply with legal obligations.
• Send marketing communications only when permitted, with opt-out rights.

4. How information may be disclosed

Information may be disclosed to service providers that support hosting, database storage, scheduling, email, monitoring, e-signature, invoicing, accounting, security, and support; professional advisers; authorized contractors; authorities when required by law; or a business successor, subject to appropriate protections.

The production system uses Vercel for hosting and platform security, Neon for application storage, Sentry for error monitoring, Google Workspace for inbound business email, and Google Calendar for qualified scheduling. Brevo provides transactional application email. Qualified applicants may receive an outbound Google Calendar booking link.

Proper Commerce does not sell personal information for money or share it for cross-context behavioral advertising.

5. Cookies and similar technologies

Proper Commerce application code does not currently create cookies or use local or session storage. Hosting and security providers may use technologies that are strictly necessary to deliver and protect the site. Qualified scheduling opens only after a visitor follows an outbound link. 6. Retention

Application records are retained for up to 24 months from submission and then deleted through a scheduled database process, unless a longer period is reasonably necessary for an active business relationship, dispute, fraud or security investigation, or legal obligation. Business correspondence is generally retained for up to 24 months after the last substantive interaction. Contract, invoicing, tax, and accounting records are retained for the periods required by applicable law and ordinary business-record practices. Marketing preferences and suppression records may be retained as needed to honor an opt-out. Service providers may maintain limited backup, security, and delivery logs under their own retention schedules.

7. Security

Proper Commerce uses safeguards appropriate to the information and size of the operation, including access controls, multifactor authentication where available, encryption in transit, managed service providers, data minimization, privacy-conscious logging, rate limiting, and error monitoring. No method of transmission or storage is completely secure.

8. Choices and rights

You may ask to access, correct, or delete information you submitted, or withdraw an optional marketing preference, by using the privacy contact below. Depending on your location and applicable law, additional rights may apply. Proper Commerce may verify identity and authority before fulfilling a request and may retain information where legally permitted or required.

9. International visitors and children

Proper Commerce operates from the United States, and the providers listed above may process information in the United States and other locations where they operate. The service is intended for businesses and adults and is not directed to children under 13. Proper Commerce does not knowingly collect personal information from children through this site.

10. Changes

This policy may be updated as the website, providers, or legal requirements change. The effective date shown above will be revised when changes take effect, and material changes will be communicated when required.
